Share links
With a share link you invite someone without a GoodWorkshop account to one workshop – a client, an external co-facilitator, the contact person at the conference hotel. The invitation goes to an e-mail address and only works together with that address.
Invite a guest
Section titled “Invite a guest”- Open a day of the workshop and click Access at the top right.
- Scroll to the Guests without an account section.
- Enter the E-mail address.
- Choose the Permission: Read only or Read and write.
- Click Invite.
If mail delivery is set up for your workspace, the guest gets the invitation by e-mail, and you see “Invitation sent to ….”
What the guest experiences
Section titled “What the guest experiences”- The guest opens the link. The page shows only the workshop title: “Invitation to …”.
- They enter the e-mail address the invitation was sent to and click Open the agenda.
- They land on the first day of the agenda.
So a forwarded link, or one left lying around somewhere, opens nothing on its own. After too many failed attempts it says: “Too many attempts. Wait a minute and try again.”
What a guest sees and can do
Section titled “What a guest sees and can do”| Read only | Read and write | |
|---|---|---|
| View all days of this workshop | yes | yes |
| See the workshop’s parking area | yes | yes |
| Change the schedule (blocks, sections, duration …) | no | yes, live with everyone else |
| Add, delete, reorder days | no | no |
| Rename, tag, move, delete the workshop | no | no |
| Print and Markdown export | no | no |
| Library, folders, other workshops | no | no |
| Choose members of your workspace as responsible people | no | no |
At the top, the guest sees “You are looking at this agenda as a guest.” or “… and can edit it.” Anyone who may only read also sees the Read only badge.
When a guest edits along, the others see them in live editing under their e-mail address. They see responsible people who are already entered by name, but not your workspace’s member list.
How long a link is valid
Section titled “How long a link is valid”The validity depends on the agenda itself, not on a fixed date:
- The days have a date: The link is valid until the end of the last dated day. If you reschedule the workshop, the validity moves with it.
- No day has a date: The link is valid until you withdraw it.
Both are also stated above the form, and in the list of guests each entry shows valid until … or valid until withdrawn.
Keep track of guests and withdraw access
Section titled “Keep track of guests and withdraw access”Below the form, every open invitation is listed with its address, permission, whether it has been opened yet (opened on … or not opened yet) and how long it is valid.
- Withdraw access ends the invitation immediately. An agenda the guest already has open stops working at their next step. The entry disappears from the list.
- Invite again – entering the same address once more – creates a new link and applies the newly chosen permission. The old link stops working. This is also how you change a guest’s permission.
A guest who opens a withdrawn or expired link reads: “This invitation is no longer valid”. A new invitation from you helps them along.
Share links through the AI assistant?
Section titled “Share links through the AI assistant?”No. Inviting guests and managing links is deliberately only possible in the app, not through a connected AI assistant.
