Members
A workspace belongs to a team. Anyone who works in it is a Member. As an admin, you manage the list: open the account menu at the top right and choose Members under Administration.
Invite someone
Section titled “Invite someone”- Click Invite a member.
- Enter First name, Last name and E-mail address. All three are required.
- Choose the Role: Member or Admin.
- Click Invite.
The person gets a sign-in link by e-mail and appears in the list as Invited until their first sign-in. As soon as they open the link, they’re Active.
If no mail delivery is set up, the page shows the sign-in link directly. Pass it on in person – whoever opens it is signed in with that address.
If the address was already a member, no second membership is created; the page then says “… was already a member.”
The two roles
Section titled “The two roles”| Role | What it may do |
|---|---|
| Member | Create their own workshops and folders and work with what is shared with them – reading or editing, depending on the share. |
| Admin | Everything a member may do, plus the Administration: members, branding, mail delivery and, in the cloud, billing. Admins can also open every workshop in the workspace; such access is logged. |
You change the role directly in the selection in the person’s row in the list.
Read the status
Section titled “Read the status”| Status | Meaning |
|---|---|
| Invited | Invited, but never signed in. |
| Active | Can sign in and work. |
| Disabled | Can no longer sign in. Name, address and workshops are kept. |
With Edit name you correct a member’s name. Everyone should recognize what someone is called in the agenda; that’s why only admins may do this.
Disable or remove?
Section titled “Disable or remove?”Both take away someone’s access, but with a different intent.
- Disable is temporary, for example during parental leave. The person stays in the list, and their workshops stay theirs. With Allow again they’re back.
- Remove is final, for example when someone has left the company and wants to be deleted.
You can neither disable nor remove yourself. Ask another admin, or delete your account under Profile and language.
Remove a member
Section titled “Remove a member”- Click Remove in the row.
- The page shows what belongs to the person, for example “To hand over: 2 workshops and no folders.”
- If they own anything, choose under Taken over by who gets it.
- Type their e-mail address to confirm.
- Click Remove for good.
What happens to their workshops
Section titled “What happens to their workshops”Nothing is lost, and nothing is quietly distributed. All of the person’s workshops and folders go to the person you chose under Taken over by. As long as you haven’t chosen anyone, the member can’t be removed. A disabled member can’t take anything over, because they couldn’t sign in.
In the cloud: who counts for the invoice
Section titled “In the cloud: who counts for the invoice”In the Per user billing model, only members with the status Active count, to the day. Invited people who have never signed in and disabled members don’t count, and neither do guests without an account. More under Pricing and billing.
